Why We Created YOTEI

"When should we have the next drinking party?" "Is there a day when everyone is free for the meeting?"

This kind of conversation happened every time—listing schedule options on LINE, confirming with each person one by one, tallying up the results. The repetitive hassle of it all was unbearable.

YOTEI is a schedule coordination tool we created to eliminate that tedium.

What We Wanted to Solve

We had several frustrations with existing coordination tools.

Can only adjust schedules → Can't use it for voting like "Which option should we go with?"

Results are hard to understand → You can't tell at a glance who is free when

Reflecting to calendar is manual → Once confirmed, we want it to go straight into Google Calendar

We designed YOTEI from scratch with three principles: "Respondents don't need to log in," "Same UI for both schedule coordination and option voting," and "One-click integration with Google Calendar."

What We Focused On

Guest Participation Design

Not forcing participants to create accounts was a non-negotiable requirement from the start. People who receive a URL can answer immediately, and they can even modify their responses later. To make this possible, we designed the guest ID and edit key system from the ground up.

Three-Choice Options: ○△✕

Two choices—"can attend / can't attend"—don't provide enough information. By capturing that nuance of "might be able to go," organizers can make more realistic adjustments. I think this △ (undecided) is quietly important.

Integrating Schedule Coordination and Option Voting

"When should we meet?" and "Where should we go?" are questions that happen within the same event. We designed it so that choosing schedule options and voting on restaurants or proposals can be handled with the same UI.

Eliminating Post-Confirmation Work with Google Calendar Integration

The work doesn't end once the schedule is confirmed. You still have to register it in the calendar, notify the team—to eliminate those tasks, we implemented one-click export to Google Calendar with notification integration.

We were committed to making it so you can "start moving immediately once it's decided," all within YOTEI.

YOTEIを作った理由

「次の飲み会、いつにする？」「会議の日程、みんな空いてる日ある？」

こんな会話、毎回LINEで日程候補を並べて、ひとりずつ確認して、集計しての毎回のくだりが面倒で仕方なかった。

YOTEIは、そのめんどくさいをなくしたくて作った予定調整ツールです。

解決したかったこと

既存の調整ツールにはいくつかの不満がありました。

日程調整しかできない → 「どの案にする？」という投票には使えない

集計結果が分かりにくい → 誰がいつ空いているか一目でわからない

カレンダーへの反映が手動 → 確定したらそのままGoogleカレンダーに入れたい

YOTEIは「回答する側がログイン不要」「日程調整も選択肢投票も同じUIで」「Googleカレンダーへワンクリック連携」をゼロから設計しました。

こだわったところ

ゲスト参加の設計

参加者にアカウント登録を強制しないことは、最初から外せない要件でした。URLを受け取った人がそのまま回答できて、しかも後から自分の回答を修正できる。これを実現するために、ゲストIDと編集キーの仕組みを一から設計しました。

○△✕の3択

「参加できる／できない」の2択では情報が足りない。「行けるかもしれない」という温度感を拾えることで、主催者がより現実的な調整ができます。この△（未定）が地味に重要だと思っています。

日程調整と選択肢投票の統合

「いつにする？」と「どこにする？」は同じイベントの中で起きる問いです。日程候補の選択も、お店や案の投票も、同じUIで扱えるように設計しました。

Googleカレンダー連携で「その後」の手間をなくす

日程が確定した後も、手間は続きます。カレンダーに登録して、チームに通知して——その作業を省くために、Googleカレンダーへのワンクリックエクスポートによる通知連携を実装しました。

「決まったらすぐ動ける」状態を、YOTEIの中で完結させることにこだわりました。
